Child Safety Policy

We are committed to maintaining the safety and wellbeing of children. We have zero tolerance for child abuse within and outside of our organisation.

Y&C Tutoring has systems in place to protect children from abuse. Any allegations or concerns regarding child safety are treated with the utmost seriousness.

Y&C Tutoring upholds its commitment to the safety of children and young people as outlined below.

1. Risk Management

We identify, prevent, and reduce risks to children and young people by regularly reviewing our safety measures.

2. Staff Management and Support

We ensure that our tutors embody child safety values and know how to uphold these values by:

Ensuring that all Y&C tutors hold a valid Working with Children Check (blue card).
Conducting pre-employment screenings of tutors with a focus on child safety. This may include conducting referee checks and/or obtaining a police check.
Tutor training to ensure that all Y&C tutors understand how to behave in a way that protects the safety and wellbeing of children and young people.
Tutor training to ensure that all Y&C tutors are aware of the signs of child abuse and know how to report suspicions that a child is at risk of harm

3. The Tutoring Environment

It is our policy that our tutors are never left alone with a child.

Policy for in-person tutoring sessions:

If a student has requested in-person tutoring, it should take place in a public area (for example, a library or cafe) with a parent or another responsible adult present for the entire session.

If a family has arranged for tutoring to take place in their home or the tutor's home, tutoring should only take place in a common area of the home with a parent or responsible adult present.

Tutoring should never take place in a child’s bedroom. At the end of each in-person session a responsible adult, who was present in the home throughout the duration of the tutoring, should sign off the session as having been conducted appropriately and in a public space.

Policy for online tutoring sessions:

A parent or responsible adult must be present or within hearing range for the entirety of any online tutoring sessions. Parents and/or a responsible adult must be available to observe each tutoring session and tutors must allow this. Students and tutors should participate in online tutoring sessions from an appropriate and common area of their homes, such as an office with an open door.

If for any reason an appropriate tutoring environment is unavailable, or if a parent / responsible adult is not able to be present for the entire tutoring session, we ask that our tutors immediately cancel the session.

4. Online Communications with Students

Tutors are not to communicate with children outside of scheduled tutoring sessions. Any online communication with children, including via email, phone, text, video call, or social media is strictly prohibited.

Any text-based communications from tutors including homework tasks, tutoring tasks, term plans and reports must be sent only to a parent / guardian email address. Records of any online communication with parents / guardians and students should be kept for a minimum of 3 years and made available to parents / guardians on request.

5. Privacy of Children's Personal Information

We take measures to protect the privacy and security of children's personal and sensitive information (see our Privacy Policy for further details).

Personal and sensitive information is disclosed only when there is a safety concern as per child safety guidelines.
